Ilford Cleaners Health and Safety Policy
Ilford Cleaners is committed to providing cleaning services in a way that protects the health, safety and welfare of our employees, clients, visitors and members of the public. This Health and Safety Policy sets out our approach to identifying, controlling and reducing risks associated with cleaning work in residential and commercial premises.
We aim to maintain safe working conditions, safe systems of work and a positive health and safety culture throughout our operations. All staff are required to cooperate with this policy and take reasonable care of their own safety and that of others who may be affected by their actions.
Management Responsibilities
The management of Ilford Cleaners holds overall responsibility for health and safety within the company. Management will allocate sufficient resources, time and attention to health and safety matters and ensure that this policy is implemented, monitored and reviewed regularly.
Management is responsible for ensuring that risk assessments are carried out for cleaning tasks, that appropriate control measures are in place and that employees receive suitable information, instruction, training and supervision to work safely. Any significant findings from risk assessments will be communicated clearly to all relevant staff.
Employee Responsibilities
All employees have a duty to follow the health and safety procedures put in place by Ilford Cleaners. Staff must:
Work in accordance with the training and instructions they have received, use all equipment safely, report accidents, incidents, near misses or hazards promptly to a supervisor, wear any personal protective equipment provided and not misuse or interfere with anything provided for health, safety or welfare.
Employees are encouraged to raise any concerns or suggestions relating to health and safety so that improvements can be made where appropriate.
Risk Assessment and Safe Systems of Work
Ilford Cleaners will conduct risk assessments for typical cleaning tasks, including office cleaning, domestic cleaning, end of tenancy cleaning, carpet and upholstery care, and specialist deep cleaning where required. These assessments will identify hazards such as slips, trips and falls, manual handling, use of chemicals, electrical equipment and working alone.
Based on the findings, safe systems of work will be developed to reduce risks to an acceptable level. These may include specific work instructions, restrictions on certain activities, use of appropriate equipment, and procedures for access and egress at client sites. Risk assessments will be reviewed periodically and following any significant change in work processes or incidents.
Use of Cleaning Chemicals
Chemicals used by Ilford Cleaners will be selected with consideration for both effectiveness and safety. Safety data sheets will be obtained and reviewed to understand the hazards and necessary control measures. Chemicals will be stored, handled, diluted and disposed of in accordance with manufacturer guidance and company procedures.
Employees will be trained in the correct use of each product, including appropriate personal protective equipment, ventilation requirements and first aid measures. Chemicals will never be transferred to unlabelled containers, and mixing of incompatible substances is strictly prohibited.
Equipment and Electrical Safety
All cleaning equipment, including vacuum cleaners, floor machines and other powered tools, will be maintained in good working order. Regular checks will be carried out and any defective equipment will be taken out of service until repaired or replaced.
Employees must perform visual checks before using electrical equipment, ensuring that cables, plugs and casings are intact. Equipment must only be used for its intended purpose and in accordance with training and instructions provided. Where extension leads are required, they must be routed to minimise trip hazards.
Manual Handling and Physical Strain
Many cleaning tasks involve lifting, carrying, pushing or pulling loads such as equipment, rubbish bags or furniture. Ilford Cleaners will seek to eliminate or reduce manual handling risks by using trolleys, long-handled tools and other aids wherever reasonably practicable.
Staff will receive manual handling training to help them use safe techniques, avoid awkward postures, and recognise when a load is too heavy or bulky to move without assistance. Employees must not attempt to move items that pose a risk to their health and must request help or report the issue.
Slips, Trips and Falls
Slips and trips are a common hazard during cleaning work, especially when floors are wet or when equipment and cables are in use. Ilford Cleaners will take steps to minimise these risks by using clear signage, controlling access to wet floor areas where possible, keeping walkways clear of obstacles and ensuring that suitable footwear is worn.
Employees must promptly clean up spills, use warning signs whenever floors may be slippery and position equipment so that cables do not create unnecessary trip hazards.
Personal Protective Equipment
Where risks cannot be adequately controlled by other means, Ilford Cleaners will provide appropriate personal protective equipment such as gloves, eye protection, masks or protective footwear. The type of protection will depend on the task, the environment and the substances involved.
Employees are required to use the equipment provided, take reasonable care of it and report any loss or damage immediately so that it can be replaced. Personal protective equipment is regarded as a last line of defence and does not replace the need for safe working practices.
Training, Supervision and Competence
Ilford Cleaners will provide induction and ongoing training to ensure that all employees are competent to perform their duties safely. Training will cover topics such as company health and safety procedures, safe use of equipment, handling of chemicals, manual handling, emergency procedures and site-specific rules at client premises.
Supervisors will monitor work practices, provide guidance and address any unsafe behaviour. Where necessary, refresher training will be arranged to maintain standards or introduce new methods and equipment.
Accidents, Incidents and Emergency Procedures
All accidents, incidents and near misses occurring during work for Ilford Cleaners must be reported to management as soon as possible. Details will be recorded and investigated to identify root causes and implement corrective actions to prevent recurrence.
Employees will be briefed on emergency procedures relevant to their work locations, including fire safety, evacuation routes and assembly points. Where first aid arrangements are in place at client sites, staff must familiarise themselves with these arrangements on arrival.
Monitoring and Review
Ilford Cleaners is dedicated to continual improvement in health and safety performance. This policy and associated procedures will be reviewed regularly and whenever there are significant changes to our work activities or relevant legislation.
Feedback from employees and clients will be considered when updating our approach, and reasonable steps will be taken to implement improvements that enhance the safety and wellbeing of everyone affected by our services.
This Health and Safety Policy applies to all employees and forms an integral part of the terms under which Ilford Cleaners provides cleaning services.
